1.Who operates this website#
This website is operated by Synthium Labs (“Synthium”, “we”, “us”, “our”). We decide why and how the personal information described in this policy is used.
Questions about this policy, or requests about your information, go to the address in section 13.
2.What this policy covers#
This policy covers personal information we collect through this website: job and contributor applications, business enquiries, data-partnership enquiries, and ordinary use of the site.
It does not cover information shared with us under a customer agreement, statement of work, data licence or confidentiality agreement. Those are governed by the agreement for that engagement. Our security page describes how we handle client material in general. See also our Terms of Use.
3.Information we collect#
We collect what you give us through our forms, plus a small amount of technical information needed to run and protect the site.
3.1When you apply for a role#
The application form asks for the following. Some items are optional.
- Contact details: name, email, phone number, city and country.
- Education: university, degree, major, current year and graduation year.
- Professional information: occupation, internships, work experience, and profile links such as LinkedIn, GitHub or a portfolio.
- Technical skills and AI-related experience you tell us about.
- Availability: hours per week, preferred hours and start date.
- Your answers to application questions, and any cover letter or additional information you add.
- A resume (PDF), if you upload one. It is stored privately and never published.
- Your confirmation that the information is accurate and your consent to its use for recruitment.
This information is provided voluntarily by you, and may be supplemented with publicly available information from profiles you link.
3.2When you contact us about a project#
The project enquiry form asks for your name, email, organization, your role, a description of the project and the data or evaluation you need, the expertise required, approximate scale, timeline and any additional information. If you choose which offering you want to discuss, we record that too. This information is used to respond to your enquiry. Please describe the work rather than sending the data: do not paste samples, personal records, credentials or confidential files into any field.
3.3When you describe a data opportunity#
When you describe a data opportunity through our data partnerships form, we collect your name, email, organization, role, and your description of the data, including what you say about ownership, authority to license, restrictions and sensitivity. The form does not accept files, and you should not include personal records, samples or credentials in it. We use this information to assess and reply to your enquiry. A reply is not an offer. Terms, retention and deletion for any data that is later transferred are set out in the agreement for that specific arrangement.
3.4Technical information#
When you submit a form, our servers see your IP address. We use it to limit repeated submissions from the same address. On the enquiry and data-partnership forms, where the human check is switched on, we also pass your IP address to the provider of that check so it can tell people from automated programs (see section 6).
Like any website, the company that hosts it also receives the standard technical details your browser sends with every request, such as your IP address and browser type, in order to deliver the pages.
4.How we use information#
We use personal information for:
- Recruitment and candidate evaluation
- Communication about your application or enquiry
- Hiring administration and record keeping
- Assessing and replying to project and data-partnership enquiries
- Improving our application process and website
- Security, fraud prevention and spam protection
We do not sell personal information, and we do not use it for anything other than the purposes described in this policy.
7.Retention and deletion#
“Retention” means how long we keep information.
Applications are retained for 12 months from the date of submission, after which they are deleted unless: you are hired (in which case records are kept as part of your employment), or we are required to keep them longer by law.
If you are not selected we may keep basic details for up to 12 months so we can contact you about future opportunities, unless you ask us to delete your information earlier.
This policy does not state a fixed retention period for project and data-partnership enquiries. We keep them for as long as we need to respond and to keep a record of the conversation, and you can ask us to delete them. Information shared under an agreement is kept and deleted as that agreement says.
A submission can exist in more than one place: our email, the spreadsheet copy and, for resumes, file storage. If you ask us to delete your information, tell us which form you used so we can find it in each place.
8.Security practices and their limits#
We use transport-layer encryption (HTTPS), secure file storage with restricted access, rate limiting and abuse protection on this website. Resumes are stored privately and are not publicly accessible.
No method of transmission or storage is completely secure; we work to protect your data but cannot guarantee absolute security. For how we protect client material, see our security page.
9.Where information is processed#
The service providers in section 6 operate in more than one country, and our team works remotely from different places. Your information may therefore be processed in a country other than the one you live in. If you want to know more about where your information is held, ask us at the address in section 13.
10.Your rights and how to use them#
You may request access to, correction of, or deletion of your personal information at any time by contacting us at hello@synthiumlabs.tech. Please put “Privacy request” in the subject and tell us what you are asking for and which form you used. We will respond within 30 calendar days. You may also withdraw your consent to processing at any time.
If you believe the law where you live gives you other rights, you can say so in your request.
11.Children#
Our services and recruitment are directed at adults (18+). We do not knowingly collect information from children under 18.
12.Changes to this policy#
We may update this policy from time to time. Material changes will be noted by updating the “Last updated” date at the top of this page.
